\nCleanHQ South Africa ("CleanHQ", "we", "us" or "our") respects your privacy and processes personal information in accordance with the Protection of Personal Information Act 4 of 2013 (POPIA) and other applicable South African law. This policy explains what information we collect, why we use it, how we protect it, when we share it, and the choices and rights available to you.
\n1. Who we are
\nCleanHQ provides residential, office, Airbnb, deep, commercial and specialist cleaning services in Johannesburg and surrounding Gauteng service areas.

\n2. Personal information we may collect
\n- Contact information: name, telephone number, email address and communication preferences.
- Service information: cleaning address, suburb, property or premises type, access instructions, requested service, preferred dates and times, frequency, notes and quotation details.
- Account and portal information: login details, booking history, quotations, invoices, service history and account preferences.
- Payment and transaction information: invoice details, payment status, references and transaction records. Where a third-party payment provider handles payment credentials, that provider may process those details under its own privacy terms.
- Communications: emails, WhatsApp messages, telephone notes, form submissions, complaints, feedback and customer-service records.
- Operational evidence: before-and-after photographs, service sign-off records, issue reports, checklists, timestamps and, where used for legitimate operational purposes, job-related location or check-in information.
- Recruitment information: job applications, CV information, work history, references, identity and eligibility information, availability and application status.
- Technical information: IP address, browser/device information, security logs, cookie information and website usage information where collected.
3. Why we process personal information
\n- to respond to enquiries and prepare quotations;
- to create, confirm, schedule, change and deliver cleaning bookings;
- to allocate cleaning teams and manage service delivery;
- to manage customer accounts, portals, invoices, payments and service records;
- to communicate service updates, reminders and support information;
- to manage complaints, quality assurance, evidence and customer sign-off;
- to process cleaner and staff applications and manage recruitment;
- to prevent fraud, abuse, unauthorised access and security incidents;
- to comply with legal, tax, accounting, regulatory and contractual obligations;
- to improve our services, website and customer experience; and
- where permitted, to communicate relevant CleanHQ offers or service information.
4. Lawful and minimal processing
\nWe aim to collect only information that is adequate, relevant and reasonably necessary for the purpose for which it is processed. Depending on the circumstances, processing may be necessary to provide a requested service, perform a contract, meet a legal obligation, protect a legitimate interest, or may take place with your consent where consent is appropriate.
\n5. Service addresses, photographs and location information
\nCleaning services may require us to process an address, access instructions and operational records. Where photographs, check-ins or location information are used, they should be limited to legitimate booking, service-verification, quality, safety or dispute-resolution purposes and accessed only by people who need them for those purposes.
\n6. Who we may share information with
\nWe do not sell personal information. We may share information when reasonably necessary with authorised CleanHQ staff and cleaning teams, technology and hosting providers, communications providers, payment or accounting providers, delivery or operational service providers, professional advisers, insurers, auditors, law-enforcement authorities, courts or regulators. Service providers acting for us are expected to process information only for the authorised purpose and with appropriate safeguards.
\n7. WhatsApp, email and other communications
\nIf you contact CleanHQ by WhatsApp, email, telephone or an online form, we may retain the communication and associated contact information so that we can respond, quote, manage a booking, resolve an issue and maintain an appropriate business record. Third-party communications platforms may process information under their own terms and privacy policies.
\n8. Cookies and website technology
\nOur website may use essential cookies and similar technologies for security, sessions, customer or cleaner portal functions, preferences, forms and website operation. Analytics or marketing technologies, if enabled, should be managed in accordance with applicable requirements and the choices presented on the website.
\n9. Security safeguards
\nWe take reasonable technical and organisational steps appropriate to the nature of the information we process to reduce the risk of loss, misuse, unauthorised access, alteration or disclosure. Safeguards may include access controls, software and server security, backups, monitoring, account protection, restricted permissions and staff procedures.

\nIf we have reasonable grounds to believe that personal information has been accessed or acquired by an unauthorised person, CleanHQ will assess the incident and take the steps required by applicable law, which may include notifying the Information Regulator and affected data subjects as required.

\nWe retain personal information only for as long as reasonably necessary for the purpose for which it was collected, to maintain appropriate service, accounting, tax, legal, employment, dispute or security records, or where another lawful retention requirement applies. When information is no longer required, we may delete, destroy, anonymise or de-identify it where appropriate.
\n12. Your POPIA rights
\nSubject to applicable law, you may ask whether CleanHQ holds personal information about you and may request access to it. You may also request correction or deletion of inaccurate, irrelevant, excessive, out-of-date, incomplete, misleading or unlawfully obtained information; object to certain processing; withdraw consent where processing depends on consent; and raise a complaint about the way your information is handled.

\n13. Direct marketing
\nWhere CleanHQ sends electronic direct marketing, we will aim to do so only where permitted and to provide an appropriate way to opt out. Service messages required to administer an enquiry, quotation, booking, payment, account or complaint are not treated in the same way as optional marketing.
\n14. Cross-border processing
\nSome hosting, communications, cloud or technology providers may process information outside South Africa. Where cross-border processing occurs, CleanHQ will seek to use arrangements that provide an appropriate level of protection as required by applicable law.
\n15. Children
\nOur services are generally intended to be requested by adults or authorised representatives of households and organisations. We do not intentionally use the website to solicit unnecessary personal information directly from children.
\n16. External websites
\nOur website may link to independent websites or services. Their privacy practices are controlled by those third parties, and you should review their policies when you provide information directly to them.
